1. Our Role
Hyphen may process personal information in different roles depending on the context.
For personal information we collect through our websites, sales and marketing activities, account administration, support, security, product analytics, billing, and other business operations, Hyphen generally determines the purposes and means of processing and acts as a business or controller under applicable privacy laws.
For personal information submitted to or processed through our products or services by or on behalf of our customers, Hyphen may process that information as a service provider or processor, depending on the applicable customer agreement. In those circumstances, our customer generally determines the purposes for which personal information is processed, and we process the information in accordance with our agreement with that customer and applicable law.
If you use our products or services through an organization, such as your employer, customer, builder, supplier, contractor, or other business partner, that organization may be responsible for administering your account and determining how certain personal information is collected, used, or disclosed. Sensitive Personal Information
We may collect or process sensitive personal information where it is necessary for a specific product, service, feature, legal requirement, or contractual obligation, including account login credentials, payment or financial information, and precise geolocation information as described above. Please do not submit sensitive personal information to Hyphen unless you are authorized to do so and the information is necessary for your use of the products or services. Where sensitive personal information is submitted to or processed through our products or services, we process it to provide, secure, support, and improve the products and services; comply with applicable law; fulfill our contractual obligations; and, where applicable, act in accordance with the instructions of the customer or organization that controls the information. We do not sell or share sensitive personal information or use it to infer characteristics about you.
3. How We Use Personal Information
We use personal information for the purposes described in the table above and as otherwise described in this Privacy Policy. In general, we use personal information to provide, operate, secure, support, and improve our websites, products, services, and, where applicable, AI-powered or automated features; manage accounts and customer relationships; process customer instructions; communicate with users, customers, and business partners; send marketing communications where permitted; comply with legal, regulatory, contractual, and business obligations; and protect Hyphen, our customers, users, business partners, and others.
To carry out these purposes, we may disclose personal information to the categories of recipients described in the table above, including service providers and contractors, customers and authorized users, integration partners or other recipients as directed by customers or users, professional advisors, legal and compliance recipients, and parties involved in business transactions.
We may also use personal information for other purposes disclosed at the time of collection, with your consent where required, or as otherwise permitted by applicable law.

Certain U.S. privacy laws define “sale,” “sharing,” and “targeted advertising” broadly to include some uses of cookies, pixels, tags, and similar technologies for cross-context behavioral advertising, retargeting, advertising measurement, or similar activities. We may process and store personal information in Canada, the United States, and other jurisdictions where we or our service providers operate. As a result, personal information may be subject to the laws of those jurisdictions and may be accessible to courts, law enforcement, governmental authorities, or other authorized parties in those jurisdictions. We remain responsible for personal information under our control and use contractual and other safeguards designed to protect personal information processed by service providers.
If you are located in Quebec, our use of cookies, analytics tools, tracking technologies, and similar technologies may involve technologies that identify, locate, or profile users, including by analyzing website or product usage, remembering preferences, measuring engagement, or supporting advertising or marketing activities. We provide information about these technologies in this Privacy Policy and, where required, provide choices regarding their use.

7. Additional Information for Australian Users
If you are located in Australia, you may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant, or misleading. You may also contact our Privacy Officer to submit a complaint regarding our handling of personal information. We will investigate and respond to complaints within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.
We may disclose personal information relating to Australian users to recipients located outside Australia, including in the United States and Canada, where Hyphen and its service providers operate. Where required, we take reasonable steps designed to ensure that overseas recipients handle personal information consistently with applicable Australian privacy requirements.
8. Security, Retention, and Processing Locations
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to provide our products and services, maintain accounts and business records, comply with legal, contractual, and regulatory obligations, resolve disputes, enforce agreements, and protect our rights and interests. Customer data is retained, returned, deleted, or archived in accordance with the applicable customer agreement, service level agreement, customer instructions, and legal requirements; certain transaction, integration, backup, log, archival, security, and similar records may be retained for the periods and purposes specified in those agreements or our internal data management policies, including as needed for security, business continuity, dispute resolution, legal holds, and compliance.
Personal information may be processed and stored in the United States, Australia, and other jurisdictions where Hyphen or our service providers operate. The laws of these jurisdictions may differ from the laws where you live.
9. Children’s Privacy
Our websites, products, and services are intended for business users and are not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided personal information to us, please contact us and we will take appropriate steps as required by applicable law.
