With unlimited licensing for office and field users and dedicated subcontractor login types with limited access, your whole workforce will be connected day one.
Start Your HVAC Job – Receive New Orders and Track Your Equipment
With SupplyPro GM, you can monitor, accept or request new SupplyPro orders and changes directly in SupplyPro GM, and orders will come directly into your new order inbox from the Builder. In the simple-to-follow interface, you can confirm all information about the job immediately, including price, drawings, specs and supply lists. If you’re working with Builders that are not using BuildPro, we can assist by automating the retrieval of new orders from other Builder web portals. You can also enter and schedule orders for POs into the system from other sources.
Before you dispatch a crew, you can create custom pre-job checklists to confirm the system is right for the home and the install is ready to go. That includes equipment selection and sizing confirmed against the plan, line sets and ductwork roughed, and the correct serialized units allocated to the correct address.
Once you’ve confirmed the equipment and materials you need, you can issue inventory pick lists or POs for dropship to site with the click of a button. Multiple deliveries are easy to set up, with condensers staged for the trim visit and furnaces and air handlers for rough-in. The serial-number tracking in SupplyPro GM is where HVAC contractors get the most value. Every condenser, furnace, heat pump and air handler is tracked from the day it lands in your warehouse, including who’s shipping it, who’s installing it and in which specific house. During construction and long after, you have model and make, capacity and tonnage, install date, service issues and warranty period at your fingertips, so warranty registration and future service calls are accurate and instant.
Schedule Rough-In and Start-Up – Match the Right Tech to the Work
Scheduling and dispatching are some of the most important areas in which SupplyPro GM can improve your operations. An HVAC system isn’t installed in one trip. Rough-in, which covers ductwork, line sets and setting the air handler, happens early, while start-up, which covers setting the condenser, charging the system and commissioning, happens near the end. That means the same house returns to your board at very different stages. You can schedule any type of HVAC job, match the right tech to the right activity, and dispatch digital work orders to the field app so crews arrive fully informed of what stage they’re walking into.
You can view your existing HVAC work orders by date, Builder, subdivision, city, crew, supervisor and more. When a house is ready for rough-in or start-up, it only takes a tap to see all your technician schedules, the stage of their current job and when they’ll be ready for the next. Assign field personnel with simple drag and drop, or generate schedules for multiple crews and jobs based on work type, location, skill level and availability. This is especially useful when a single install needs a rough-in crew and a separate start-up technician. When the Builder moves a date, you know immediately and can redeploy crews before the day is lost.
Don't Miss a Thing on the Job – Commissioning, Start-Up and Sign-Offs
SupplyPro GM lets you pay your employees and Trades by the hour or by completed system. Clocking in is simple, and HVAC crews begin and end their days with the tap of a button on their mobile app, all in the same software you’ll use to pay them.
You can design a step-by-step workflow that matches your operation and build the checklists that protect quality and document compliance, including commissioning and start-up reports, refrigerant charge and airflow verification, and equipment serial capture for warranty registration. Crews check items off on the app as they complete them, and you can visually track field progress from the office throughout the day with color-coded status updates. The field app works even where the internet is not available.
And what if something unexpected happens, such as a last-minute equipment change, a spec that doesn’t match the rough, or ductwork damaged by another Trade? Your field team can initiate a request for an extra PO and support it with comments and site photos, keeping your back-office and the Builder aware of any issues and additional charges in real time. They can also flag a house that isn’t ready for start-up and reschedule, with every stakeholder notified so you can redirect idle crews or resolve a supply delay before it stalls you.
Installation is Done – Speed Up Payments and Build Recurring Maintenance Revenue
When the job is done, the Builder gets instantly notified. Your field crews can also take photos, complete punch lists and record start-up details and proper completion. After all, you only get paid for work you can document.
SupplyPro GM automatically queues up every Builder PO as an open invoice, ready to be issued when work is completed. Invoices flow seamlessly to popular accounting systems such as QuickBooks and Sage Construction Solutions.
For HVAC contractors, the install is the start of a relationship, not the end of it. When the homeowner takes possession, you can transition the equipment history from the Builder’s file to a homeowner file, so the make, model, tonnage and warranty status of every unit is ready the moment that homeowner becomes a service customer. Today’s homeowners expect easy preventative maintenance, and HVAC lends itself to recurring spring and fall tune-ups. SupplyPro GM has tools for tracking service calls, managing preventive maintenance schedules and recurring billing for maintenance agreements. Whether you send a tech out six months or six years after the install, they’ll have the equipment details, service history, notes and photos right on their phone.
